Email Server Details - Technical Reference
Use this article for the exact server settings needed to configure email in any app (Outlook, Apple Mail, Thunderbird, phone mail apps, etc.).
Server settings
Replace yourdomain.com with your actual domain in all settings below.
| Setting | Value |
|---|---|
| Incoming server (IMAP) - recommended | mail.yourdomain.com |
| IMAP port | 993 (SSL/TLS) |
| Incoming server (POP3) - not recommended | mail.yourdomain.com |
| POP3 port | 995 (SSL/TLS) |
| Outgoing server (SMTP) | mail.yourdomain.com |
| SMTP port (SSL) | 465 |
| SMTP port (STARTTLS) | 587 |
| Username | full email address, e.g. you@yourdomain.com |
| Authentication | Required - same as incoming mail password |
Why use IMAP instead of POP3?
IMAP keeps your mailbox in sync across every device - read/deleted emails on your phone will also show as read/deleted on your laptop and in webmail. POP3 downloads mail to a single device and can cause emails to "disappear" from other devices, so we don't recommend it unless you have a specific reason to use it.
Webmail
- URL:
https://webmail.yourdomain.com - Login: full email address + mailbox password
SPF, DKIM, and DMARC (for deliverability)
These DNS records help prevent your outgoing emails from being marked as spam. They are set up automatically for domains hosted with us. If you're sending email through a third-party service (e.g. a marketing platform) in addition to your hosting, that service may require you to add extra SPF/DKIM entries - open a ticket if you need help with this.
Port 25 blocked?
Many ISPs (especially on residential/mobile networks) block port 25 to prevent spam. This does not affect normal email sending - always use SMTP port 465 or 587, not 25, when configuring a mail app.
Common issues
| Issue | Likely cause | Fix |
|---|---|---|
| "Server not found" errors | Wrong hostname or DNS not yet propagated | Confirm you're using mail.yourdomain.com and that your domain is active |
| Emails marked as spam by recipients | Missing/misconfigured SPF, DKIM, or DMARC | Open a ticket - we'll verify your domain's email DNS records |
| Certificate/security warning during setup | App connecting without SSL/TLS enabled | Ensure SSL/TLS is selected for both IMAP/POP3 and SMTP |
